Referral Coordinator

Department: Clinical Staff CC72
Location: Jacksonville, FL

Position Summary

The Referral Coordinator is responsible for managing all outgoing patient referrals for the ENT practice. This role ensures timely processing, accurate documentation, and seamless coordination between patients, providers, and external healthcare organizations. The Referral Coordinator plays a key role in optimizing patient access to specialty care and maintaining compliance with insurance requirements.


Key Responsibilities

  • Process outgoing referrals in a timely and accurate manner
  • Verify patient insurance eligibility and referral requirements (e.g., authorizations, PCP referrals)
  • Obtain and track prior authorizations for procedures, imaging, and specialty services
  • Communicate with primary care providers, specialists, and insurance companies regarding referral status
  • Schedule patient appointments related to referrals and follow up on pending cases
  • Ensure all referral documentation is complete and properly entered into the EMR system
  • Monitor referral work queues and maintain logs for tracking and reporting
  • Provide patients with clear instructions regarding referral processes and next steps
  • Resolve referral-related issues, including denials and delays
  • Maintain compliance with HIPAA and organizational policies

Qualifications

  • High school diploma or equivalent required; associate degree preferred
  • Minimum of 1–2 years of experience in a medical office, preferably in ENT or specialty care
  • Knowledge of insurance plans, referral processes, and prior authorization procedures
  • Familiarity with electronic medical records (EMR) systems
  • Strong organizational and multitasking skills
  • Excellent communication and customer service abilities
  • Attention to detail and problem-solving skills
